Sometimes your web connector will stop working. You will see an error message that says 'QuickBooks Web Connector has stopped working'. Adding or removing connections from the web connector can cause this error.
Follow the on-screen instructions to close the program. Closing all windows, QuickBooks, Browsers, and rebooting are the first steps to take. If all else fails, you can uninstall and reinstall the web connector.
Troubleshooting QuickBooks Web Connector Errors
There are potentially only two types of errors to address when using the QB Web Connector.
1st – Whenever PCW tries to send a transaction with an invalid vendor, customer, or account number, then QB will return an error message and we post it onto the Export Approval List.
2nd – The other type of error actually occurs from within the QuickBooks Web Connector (QBWC). Unfortunately, whenever an error occurs in the QBWC the error is not reported back to the PCW program. This results in having Approved transactions on the PCW site just sitting there waiting to be processed by the QBWC. While it’s conceivable that one of the Approved transactions may be causing the error, that is not always the case. The cause could also be between the QBWC and the QuickBooks program.
To resolve errors within the QBWC while running the QuickBooks Web Connector, do the following:

Start QuickBooks to the correct company file.

Start the QuickBooks Web Connector (File, Update Web Services).

On the Web Connector program, Click on File and then Clear Log.

Run the Web Connector (Update Selected) to retrieve the latest PCW files.

If the QB Web Connector reports and error, click on the View Log. Typically, the QBWC will open the file in Notepad.
Whenever you receive an error while running the QuickBooks Web Connector it is typically due to one of two things:

The Web Connector is not properly set up to communicate with the PCW service.

There is something wrong (other than errors we check for such as incorrect vendor, customer, item, or account code) with the format of the data in one or more of the transactions that PCW is sending. *Typically it would only be a single transaction causing the error). THIS IS NOT A COMMON OCCURRENCE. We have done extensive testing so that any anticipated errors are captured, marked as such in the Status column, and reported in PCW. Receiving an XML error from QB Web Connector is most likely due to a bug either in our software or in QuickBooks that needs investigation.
The resolution is to send a small group of transactions in order to isolate the single transaction that is causing the XML error. The correct procedure is as follows:

Ensure that there are NO approved transactions in both the Sales and the Purchase list.

Go to the Transaction Approval screen.

Change the viewing Status from All to Not Sent

Change the From Date to be at least 90 days from the current date (this will ensure that all transactions not yet downloaded including older ones will be in the list)

Be sure to click the Unapproved action for any transaction with a Status of Approved. (this ensures we don’t have any transactions marked as approved.)

Change the Transaction Type selection from Purchases to Sales.

Repeat step d. so that there are no Sales transactions approved.

Change the Transaction Type selection back to purchases.
-
Approve the first five transactions in the list.

Run the Web Connector.

If the export is successful, approve the next five transactions, and run the WC. Repeat this process until you get the XML error for a particular group.

Make a note of the group of five transactions that you got the error on – one of these transactions is most likely the problem.

Unapproved four of the five transactions and run the Web Connector. If it errors then you have found the problem transaction. If it does not err then repeat the one-by-one approval process for the remaining 4 transactions within the group until you have identified the problem.

Once we have done that then you will be able to export all other transactions without a problem.
